Checkout privacy notice

This notice covers the checkout at checkout.sterlingvault.co.uk, not the rest of the Sterling Vault website. Sterling Vault Auctioneers Ltd is responsible for the information described here. Contact us at auctions@sterlingvault.co.uk, 01903 946222, or Sussex Chambers, 5 Liverpool Terrace, Worthing, West Sussex BN11 1TA.

What we use

To verify an invoice and complete a purchase, we use the invoice number and email address you enter, invoice details from Business Central, contact and billing or delivery details, your delivery and payment choices, and payment status. We also keep operational records of payment attempts and errors. Server logs and error monitoring may include technical information such as request paths, times, IP addresses and browser details.

Why we use it

We use this information to provide the checkout and fulfil your purchase, support customers, prevent fraud and diagnose problems, and meet accounting or legal obligations. These activities may rely on contract, legal obligation or our legitimate interests, depending on the purpose. We also count checkout page requests and summarise invoice and payment totals to understand how the service performs. These internal reports show aggregate counts, not individual browsing histories.

Who receives it

We use Business Central for invoice information, Cardstream for card payments, Wonderful for bank-transfer payments, and delivery services when an order is shipped. We use Bugsnag to monitor application errors in production. Email and hosting or backup providers also process information needed to run the service. Payment providers may receive the information needed to process your payment; we do not collect your card number on this checkout. The checkout also loads fonts from Google and a logo from the main Sterling Vault website, which means your browser contacts those services.

How long we keep it

We keep transaction and support records for the period needed for accounting, legal and customer-service purposes. Technical logs are retained for operational and security purposes. Aggregate page-request counts do not contain invoice numbers, basket identifiers or IP addresses. Contact us if you would like details about retention of a particular record.

Your rights

You can ask us for access to your personal information, or to correct it. Depending on the circumstances, you may also ask us to erase it, restrict its use or object to processing. Contact us using the details above. You can also complain to the Information Commissioner's Office.
